Market Dates & Times

Vendor Move In: October 4th: 11:30am-3:50pm

*Vehicle access to the move in door is only accessible until 3pm- please plan accordingly*

 

Hours of Operation:

October 4th: 4pm-8pm

October 5th: 10am-6pm

October 6: 10am-2pm

 

Vendor Move Out:

October 6: 2pm-4:30pm

 

Parking

On Friday you will be provided with a vendor parking pass with your welcome package- on Saturday the road to get into the complex is closed as this is where the main festivities take place- so you will need the pass to get to your parking spot.

 

Booths and Layout

If you requested power or any special booth requirements we are working on the floor plan with our rental company and will be doing our best to meet everyone's needs. This will be finalized shortly then we will send it out.

 

Each booth will have 2 chairs + an 8 foot table - if you do not require these please let me know ahead of time. Any additional tables or chairs are your responsibility to bring.

 

Point of Sale

Every year we get so many people in town that the cellular towers cannot keep up- so we have Telus Hubs coming in on Saturday for the vendors. However, we do advise ahead of time to bring a larger than normal cash float as we encourage festival goers to bring cash in the case that our debit/credit machines are down. 

 

Booth Aesthetics and Expectations

We require that you:

  • Display the exhibit in a professional manner and in good structural condition.
  • Maintain the products presentable, clean, and free of damage.
  • Be respectful of the other vendors by not encroaching on their space or blocking their sightlines.
  • Keep the exhibit clean and free from packing boxes and papers, any storage of excess product should not be visible to the public.
  • Keep the exhibit fully stocked and always staffed during the hours of operation.
  • Have staff that is alert and professional, and that always maintains a professional appearance and attitude with guests. Your staff is not permitted to work outside of their allocated exhibit space.

We encourage that you:

  • Help us enhance the pumpkin/fall theme in the Marketplace. With the space available in your booth, plan to add tasteful decorations or accents to your booth display such as pumpkins or fall decor

 

Code of Conduct

To ensure that everyone has a great experience at our event, we ask that you follow these guidelines:

  • Be kind, courteous and respectful to everyone you interact with (customers, attendees, staff, volunteers and fellow vendors)
  • Be professional and cultivate a positive attitude.
  • Be safe and ensure the well-being of all customers, attendees, staff, volunteers, and fellow vendors. (Keep in mind that people have different abilities and take this into account as you plan your booth set-up and product display)
  • Maintain a clean workspace, keep all equipment and supplies organized and appropriately dispose of all waste.
  • Vendors are not allowed to bring any personal pets and/or animals to the fair unless they are a registered service animal.

 

Sales Variability

Every vendor hopes for great sales when they join an event. Sales can go up or down for many reasons. While we works to create an environment that supports sales and foot traffic, it is ultimately up to each vendor to plan and be ready for any sales outcome, and to conduct a comprehensive risk assessment prior to application.

 

Advertising and Traffic

We are expecting an extremely large attendance this year and plan for this to be our largest crowd to date. We have spent a lot of time and dollars advertising for this festival but we ask that each of you share and tag our Facebook page or website smokylakepumpkinfair.ca on your socials. I have attached a vendor graphic-please feel free to make your own to fit your brand as well.
