Thanks to HAK Grads 2025 – attached is a list of the responsibilities for you for 2024 and a contact list if you need it. We appreciate you bringing your energy to this event!
The info booths are new this year and wouldn’t have happened without your team! They exist because of the feedback we got that there weren’t enough locals to help with directions.
Pre Weigh off
330pm Friday - 4 to 6 to go to golf course for the golf carts – Michelle is contact if there is any issue with pickup.
Parking lot setup – 6 to go to parking areas – Terry is contact and will direct work.

Weigh Off – Back
8 to 10 volunteers in the back at any one time
There will be food all Saturday for you – pizza, wraps, donuts, coffee, pop, water in the back of the arena.
Friday from 5 to 8pm – leads are Ashley and Dennis
Friday:
- Assist with unloading, weighing (of early entries) and organizing the back area
- Heads up when forklift is on the move
- Assist with any table setups, chairs, etc as directed by leads
- Get your volunteer wristbands and parking passes from Crystal
Saturday:
- Arrive 8am
- Wear the orange coveralls for the day
- Assist with slinging, carrying and loading entries with forklift operator
- Assist with Auction – getting the winners their small items
- Assist with load out of entries – growers do take their entries home
- Help with the chair removal from arena
- Return golf carts to golf course
- Day ends chairs are in the seacan and last pumpkin is loaded.
Weigh Off – Front – 2 at 230 (move over from the admission team) – Crystal is the lead
- Assist with auction purchases – buyers will want to start paying before the auction is over
- Run paperwork from back of house to front – watch the forklift and other activities in the back and avoid making them stop
Weigh Off – Admission – 4 onsite for 1030 to 3pm – at arena doors – we open doors at 11am. At 230, 2 of the admission volunteers to go to the weigh off desk inside to assist with the auction payments. Michelle is the lead.
You’ll need an apron, float, hand stamps, tip tap machines, debit machine – all from Crystal at Weigh Off
- Check Wristbands for entry – yellow, green and orange are good for entry. Blue wristbands are for busses only – must pay to enter weigh off
- Take cash admissions $5 – under 13 is free.
- Direct people with cards to use tip tap and once it “beeps” stamp their hands
- For those that want to pay for multiple admissions, and use the debit machine, take their payment and stamp their hands.
- So for entry to the weigh off area, they must have either a wristband (NOT BLUE) or a hand stamp.
- Once auction is over, take all the items to Crystal at the office table in the weigh off.
- NOTE: Vendors and volunteers can use the washrooms in the dressing rooms – but not for public. This allows them to use them quickly and not have to stand in line. Please monitor those coming in and keep an eye on the dressing room access to keep it to vendors and volunteers.
